Start with the real workflow
The most useful workflow document starts with what your team already does. Before changing tools or writing a formal SOP, list each step from the moment a request comes in to the moment the work is complete.
Name the owner of every handoff
A workflow becomes scalable when each task has a clear owner, a clear next step, and a clear point where the work moves to another person or system.
Use checklists before long manuals
Most busy teams will not use a long manual during daily work. Start with checklists, templates, and short instructions, then add detail only where mistakes are common.
Review the workflow monthly
A documented workflow should change as the business learns. Review the process monthly, remove steps that do not help, and clarify any recurring confusion.
